How to add Google Workspace Email to Outlook (IMAP)

If you’re looking to connect your Google Workspace (formerly G Suite) email to Microsoft Outlook using IMAP, you’re in the right place. IMAP is a great choice if you want to keep your emails synced across multiple devices and don’t want to download them locally like POP3.

In this guide, I’ll walk you through the exact steps to complete the IMAP setup on a Windows machine using Microsoft Outlook.

📬 Why IMAP?

IMAP (Internet Message Access Protocol) keeps your email data synced across all devices. Any changes you make (read, delete, move, etc.) in Outlook will reflect in Gmail and vice versa. Perfect for accessing your email from different devices without losing anything.


🔧 Step 1: Enable IMAP in Your Google Workspace Email

  1. Log in to your Google Workspace Gmail account.
  2. Click the ⚙️ Gear icon in the top right corner.
  3. Select See all settings.
  4. Go to the Forwarding and POP/IMAP tab.
  5. Under IMAP access, select:
    • Enable IMAP
  6. Click Save Changes.

🔐 Step 2: Update Your Google Account Settings

Enable 2-Step Verification
  1. Go to https://myaccount.google.com.
  2. Navigate to Security.
  3. Under “Signing in to Google”, enable 2-Step Verification if not already enabled.
  4. Add a phone number for verification.

Generate an App Password

  1. In the same Security section, click on App passwords.
  2. Sign in if prompted.
  3. After adding an number search in the bar App Password.
  4. Generate an app password.
  5. You will get 16 digit random generated password.

📥 Step 3: Configure Outlook for IMAP

  1. Open Outlook
    • Go to File → Add Account
  2. Enter your full Google Workspace email address
  3. Choose IMAP
    • When account type is requested, select IMAP.
  4. Enter App Password
    • Outlook will ask for your password →
    • Paste the Google App Password (NOT your normal Gmail password).
  5. Complete Verification
    • You may see a 2-Step Verification popup.
    • Approve it to continue.
  6. Outlook will verify the connection →
    • ✅ Account added successfully!

📥 Step 4 (Optional): If outlook doesn’t detect IMAP settings automatically then you have to put the settings manually


✅ Done! You’re All Set.

Your Google Workspace email is now configured with Microsoft Outlook using IMAP. Any emails you send, receive, or organize in Outlook will automatically sync with your Gmail account — and vice versa.
